WhatsApp is the dominant communication channel in Latin America. In Colombia, Mexico and Peru, more than 85% of adults with a smartphone use it every day. For companies, this creates a clear opportunity: if your customers are already there, why not bring your sales process there too?
The problem is that many companies use WhatsApp as a support channel, but completely disconnected from their CRM or sales system. The result: conversations that get lost on the salesperson's phone, customers who never show up in the system, and sales that close without leaving a trace.
This guide explains how to fix that.
First, understand the WhatsApp options for business
There are three levels of use:
WhatsApp Business App (free): For small businesses. A single device, manual management. It has no API and cannot be officially integrated with external systems.
WhatsApp Business API (paid): The level that allows real integrations. It requires a dedicated number, Meta approval, and access through certified providers called BSPs (Business Solution Providers). Cost: varies by provider, typically between USD 0.005 and 0.02 per conversation.
Cloud API (direct from Meta): Since 2022, Meta allows direct access to the API without intermediaries. More flexible, but it requires more technical setup.
For any real integration you need the API. The WhatsApp Business App has no public endpoints and is not the right solution if you want to connect it to your CRM.

A working integration between the WhatsApp Business API and a CRM has three components:
1. Inbound webhook: WhatsApp sends an HTTP POST to your server every time a message arrives. Your system receives it, extracts the relevant information (number, name, message) and processes it.
2. Logic middleware: An intermediate service that decides what to do with each message. Is it a new lead? An existing customer? A reply to a campaign? This component queries your CRM to give the conversation context.
3. Outbound API: Your system sends replies or proactive messages to WhatsApp through the API. This includes automatic confirmations, appointment reminders, invoice delivery, and so on.
Most common use cases in LATAM
Automatic lead capture
A customer writes to the company's WhatsApp number. The system automatically creates a CRM record with the number, name (if available), date and first message. The responsible salesperson gets an immediate notification.
Typical impact: 70-80% fewer leads lost because "nobody saw them in time".
Automated follow-up flow
After a meeting, the system automatically sends a follow-up message with a summary of what was agreed, the next steps and a link to schedule the next meeting. If the customer doesn't reply within 48 hours, it sends a reminder.
Typical impact: 30-40% increase in close rate at service companies.
Order or service notifications
For distributors, logistics or service companies: when an order changes status in the system, WhatsApp automatically notifies the customer. No manual calls, no emails nobody reads.
Typical impact: 50-60% fewer inbound "where is my order?" calls.
Payment collection and reminders
Integration between the billing system and WhatsApp to send automatic reminders 7, 3 and 1 days before an invoice is due, and 1 and 7 days after if it isn't paid.
Typical impact: 20-30% reduction in overdue receivables at companies with high-volume collections.
Providers and costs in LATAM
The main BSPs with a presence in Latin America are:
- Twilio: The best known globally. USD 0.0085 per service conversation. Good documentation.
- 360dialog: Popular in LATAM. Variable pricing. Faster approvals.
- Vonage (now Vonage by Ericsson): A good option for high volume.
- Gupshup: Strong in Mexico and Colombia.
Besides conversations, consider the development cost of the integration: typically between USD 3,000 and 15,000 depending on complexity.
No-code tools for simple cases
If you don't need a deep integration with your CRM, tools like n8n or Make (formerly Integromat) let you connect the WhatsApp Business API with many systems without writing code. Simple cases like "when a new message arrives, create a task in Trello" or "when a customer is created in HubSpot, send a welcome message on WhatsApp" can be done in hours.
The limit of these tools is complex logic: if you need to query the customer's history, check business conditions and make decisions in real time, you need custom development.
Where to start
The most common mistake is trying to automate everything at once. The strategy that works best:
- Identify the most painful flow: Where are you losing the most customers or time because of missing integration?
- Start with that one: Build a small integration that solves that specific problem.
- Measure: How much time did it save? How many additional leads did you capture?
- Expand: With data in hand, the second and third flows have a clearer ROI.
If you want an assessment of which flow would be the first to automate in your company, get in touch. No commitment.
